Client portalA client portal (klantportaal) is a secure online environment in which clients of an accounting or bookkeeping firm deliver documents, answer questions and view their figures.
Receipts (bonnen)Receipts (bonnen) are till receipts and proofs of payment for small purchases such as fuel, parking or lunch, which support the expense entry and the deduction of input VAT.

FAQ
Quick answers.
Afletteren is the Dutch term for reconciling: linking a payment to its open item so that the item is closed as paid in accounts receivable or accounts payable.
Bank transactions are matched with invoices and bookings, and each match gets a confidence score. If the score is above your threshold, it reconciles automatically; below it, a proposal waits for review.
A vraagpost is a transaction or document for which information is missing, such as a payment without an invoice. The word is also used for the suspense account on which such items are posted temporarily.
Raise them during processing, link every question to its document or transaction and follow up automatically. That way you see per client what is open instead of losing it in loose emails.
The standard rate of 21%, the reduced rate of 9% and the zero rate of 0%. Some supplies are also exempt from VAT, and with reverse charge the VAT is declared by the customer.
Domestic reverse charge goes in box 2a, purchases from other EU countries in box 4b and from outside the EU in box 4a. The deductible VAT is included as input VAT in box 5b.
Make delivery as easy as possible: a photo via the app or WhatsApp straight after the purchase. Whatever is missing, ask for it per transaction with automatic follow-up.
Under the Dutch retention obligation, the core records of the administration, such as invoices and receipts, generally have to be kept for seven years. Some records, such as those on real estate, have a longer term.
It differs per administration. Start cautiously with suggestions, review the proposals and increase automation once they are consistently right.
Yes. In Autoboeker you set the threshold per firm or per administration, so a new or complex client can have a different limit than a stable administration.
An administration rule applies to one administration, a global rule to all administrations of the firm. Global rules set the standard, administration rules record the exceptions per client.
No. Autoboeker books on confidence score and history. You use rules for agreements you want to record explicitly, not as a precondition for automation.
A purchase invoice is an invoice from a supplier with, among other things, an invoice number, VAT details and payment term. A receipt is usually a till receipt or proof of payment for a direct purchase. Both must be booked, but the requirements and checks differ.
Deductible VAT on purchase invoices goes in box 5b of the Dutch VAT return as input VAT. Reverse-charge VAT uses other boxes; that is covered in the guide on reverse-charge VAT and foreign invoices.
The steps are largely the same. A quarter-end close adds preparing and checking the VAT return, for clients who file quarterly.
No later than the last day of the month after the quarter: 30 April, 31 July, 31 October and 31 January. The exact dates are in the Belastingdienst's return letter.
In January really, with monthly closes. The year-specific steps, such as accruals and the annual VAT reconciliation, are done in December and right after the turn of the year.
The accountant or compiler. The bookkeeping provides complete, reconciled and supported books on which the annual accounts can be based.
Short enough for the client to read in one go on their phone: two to four sentences. State the date, amount and counterparty and ask one thing.
According to the Belastingdienst, deducting VAT requires an invoice that meets the requirements for a VAT invoice. A statement only shows that a payment was made, not what was supplied or how much VAT was charged.
