Approval before and after booking
Approve before or after booking, the way your client wants.
Set per administration who approves what. Documents follow your client's approval steps, before processing or after booking, with rules for what may go through automatically and what always needs the board.
Approvals
- Before processing: approve first, then book
- After processing: book first, then review
- Rules: straight through or always approval
Before or after processing
Choose per administration whether documents are approved first and then booked, or booked first and reviewed afterwards.
Multiple steps
For example department manager, finance and board, in a fixed order. A document only moves on once the step is approved.
One or all approvers
Per step, decide whether one approver is enough or everyone has to agree.
Rules for exceptions
Process small amounts or regular suppliers automatically, always route large amounts via the board.
Approve with context
Approvers see the document, the details, the booking lines and the steps, and approve or reject with a comment.
Fully traceable
Who approved or rejected what and when is recorded, for you and for your client.
How it works
From incoming document to approved booking.
Every document follows the route your client has set. Rules decide what may go through automatically; everything else follows the steps.
- 01
Arrive
Invoices and receipts come in via upload, email, the app or Connect and are recognised by the AI.
- 02
Route
Rules decide: process automatically, for example small amounts, or approval required, for example above a limit.
- 03
Approve
The document goes through the steps in order. Per step, one approver is enough or all approvers have to agree.
- 04
Book or review
Before processing, booking only happens after the last step. After processing, the booking is ready for review.
- 05
Record
Approvals, rejections and comments are recorded, so it's always traceable who decided what.
Review
Approve with the document right there.
Approvers see the document, the details and where it is in the steps. With approval after processing they also see the booking lines: GL account, VAT code, cost centre, cost unit and project.

FAQ
Questions about Approvals
With approval before processing, your client approves a document first and it's booked afterwards. With approval after processing, it's booked first and the approver then reviews the booking, including GL account, VAT code and cost centre.
Yes. You put steps in a fixed order, such as department manager, finance and board. Per step you decide whether one approver is enough or all approvers have to agree.
No. Rules let documents be processed automatically, for example purchases up to €100 or a regular supplier up to a set amount. Conversely, you can require large amounts to always go through a specific step.
The document is rejected with a comment, so everyone knows what's wrong and what needs to happen.
Approval before and after booking works with Exact Online, Twinfield, SnelStart and e-Boekhouden, in both the Firm and Large firm plans.
