What is AI invoice processing?
AI invoice processing handles invoices from arrival to booking with artificial intelligence. It goes beyond digitising: the software understands the invoice, decides how to book it and writes the booking to the accounting software.
For an accounting or bookkeeping firm it shifts work from data entry to review. Your team only assesses bookings the AI is less certain about or that need human judgement. The rest goes through automatically, with a trail of what happened and why.
How does AI invoice processing differ from OCR and scan-and-recognise?
OCR turns a scanned invoice into text. Classic scan-and-recognise tools combine OCR with templates or supplier rules to find fields such as amount and invoice number. That works while layouts stay the same, but every new supplier or changed invoice needs maintenance.
AI invoice processing recognises content without templates and uses the administration's context: how this supplier was booked before, which VAT code fits, which cost centre is usual and which agreements the firm has recorded. The output is a complete booking proposal, not just extracted data.
| OCR | Scan and recognise | AI invoice processing | |
|---|---|---|---|
| What it does | Image to text | Extract fields with templates or rules | Recognise, check, code and book |
| Output | Text | Filled-in fields | Booking proposal or booked invoice |
| Administration context | No | Limited | Yes: history, rules and instructions |
| Confidence score per booking | No | Sometimes per field | Yes, with explanation |
Which data does AI extract from an invoice?
Autoboeker reads everything needed to book and pay an invoice correctly and checks it against master data from the accounting software.
- Supplier or customer, recognising new and existing contacts.
- Invoice date, invoice number and payment terms.
- Subtotal, VAT per rate and total.
- Line details, with line-level booking and splitting or merging lines.
- VAT situation: 21%, 9%, 0%, reverse charge, within or outside the EU.
- GL account, cost centre, cost unit and optional project.
- Currency, with foreign currency detection and optional conversion.
- The supplier's IBAN and VAT identification number.
Which checks does AI invoice processing run automatically?
Good AI invoice processing does not book blindly. Autoboeker checks every invoice and puts deviations in review instead of processing them silently.
- Subtotal, VAT and total are recalculated.
- Checks for missing VAT, an unusual VAT code and an unusual VAT amount.
- VAT number check via VIES and IBAN check.
- Duplicate invoices and duplicate contacts flagged.
- Document type, high amounts and unknown suppliers checked.
- Unusual booking behaviour and payment terms flagged.
- Missing information checked, with a client question when needed.
How does the AI learn how your firm books?
It uses four sources: the administration's history, your team's corrections, administration and global rules, and plain-language instructions through the AI assistant, such as ‘Fuel receipts always to 4210 Travel costs’. The prompt library has 139 example instructions to start from.
How many invoices can AI book automatically?
It depends on the administration and the threshold you choose. Recurring suppliers with a stable history usually score high and go through automatically; new suppliers, unusual amounts or VAT situations score lower and go to review.
Autoboeker has three modes per firm or administration: suggestions you approve, smart confirm where you only see deviations, and fully automatic booking above the confidence threshold. Most firms start with suggestions and raise automation per administration as the AI learns the client.
What does AI invoice processing deliver for a firm?
An indicative example: a firm processing 10,000 invoices a year that goes from ±6 minutes of manual work to ±1 minute of review per invoice saves about 667 hours a year. Real-time status, automatic client questions and proposed bookings can shorten the month-end close by up to 5 days.
On cost: 10,000 invoices a year is about 833 bookings a month. At €50 per month including 200 bookings and €0.20 per extra booking that is roughly €177 a month for the whole firm, with unlimited administrations, users and client portal.
Does AI invoice processing work with my accounting software?
Autoboeker runs on top of Exact Online, Twinfield, SnelStart and e-Boekhouden. It reads master data and history and writes the booking back. Moneybird, Nmbrs (formerly Yuki), AFAS and Visma eAccounting are in development.
What to look for when choosing AI invoice processing
Many tools call themselves AI. These questions reveal the difference in a demo or trial.
- 1Ask whether templates or supplier rules are needed before invoices are read correctly.
- 2Check whether the tool proposes GL account, VAT code and cost centre, or only extracts fields.
- 3Ask for a confidence score per booking and a threshold per administration.
- 4See whether each booking explains why it was proposed, with an audit trail.
- 5Test hard invoices: reverse charge, multiple VAT rates, credit notes and foreign currency.
- 6Ask whether bank matching and client questions are in the same flow.
- 7Work out the pricing model: cost per administration, per user and per booking.
Is AI invoice processing secure and GDPR compliant?
At Autoboeker data is encrypted in transit (TLS) and at rest (AES-256), access is role-based and per administration, and every action by people and AI is logged. Client data is never sold or shared and not used to train public AI models. A DPA is available and policies and subprocessors are in the Trust Center.
