Inclusive and exclusive VAT codes in Autoboeker

Why two VAT codes with the same name make the total mismatch, how you switch the inclusive code off, and how Autoboeker checks subtotal, VAT and total.

Short answer

If an inclusive and an exclusive VAT code with the same name are both on, Autoboeker cannot make the invoice total add up and reports that the total does not match. Switch the inclusive code off on VAT codes and process the document again. Autoboeker checks subtotal, VAT and total; an arithmetic error on the invoice itself is fixed by adjusting the lines, not by leaving both codes on.

Key takeaways

  • Two codes with the same name, one incl. and one excl., cause a total mismatch.
  • Switch the inclusive code off and process again.
  • Autoboeker checks subtotal, VAT and total on every document.
  • A wrong invoice sum is fixed in the lines, not with a second code.
  • This applies to Exact Online, Twinfield, SnelStart and e-Boekhouden.

Why does Autoboeker say the total does not match?

Because two VAT codes with the same visible name are active: one where the amount is VAT-inclusive and one where it is exclusive. Autoboeker then cannot choose which code belongs to the recognised lines, and the calculated total differs from the document total.

That is the most common cause of the total does not match message, before a real arithmetic error on the pdf.

How do I switch on the right code?

Open the VAT codes screen of the administration and switch the inclusive variant off. Keep the exclusive code on if you book invoices exclusive of VAT, which is usual for purchases. Then process the document again.

  1. 1Open the administration and go to VAT codes.
  2. 2Find codes with the same name and an incl. and excl. variant.
  3. 3Switch the inclusive code off.
  4. 4Process the document again.

What if the invoice itself does not add up?

Autoboeker checks subtotal, VAT and total. If the pdf is wrong, you adjust the booking lines until they match. You never overwrite the document total directly. Every change is in the audit log.
