Short answer
As a bookkeeping firm, you offer invoicing by switching on the invoicing module per client administration in Autoboeker. Your client then creates invoices and quotes in the client portal, gets paid via iDEAL with Mollie or an EPC payment QR code, and every invoice sent is in Exact Online, SnelStart, Twinfield or e-Boekhouden straight away. Invoicing is an add-on at €5 per month per administration.
Key takeaways
- You switch on invoicing per client administration with one click under Settings.
- You map the VAT codes the client may invoice with to the right GL account.
- Quotes, credit notes, recurring invoices, iDEAL via Mollie, an EPC QR code and automatic reminders are included.
- Works with Exact Online, SnelStart, Twinfield and e-Boekhouden; a PEPPOL integration is coming soon.
How do you offer invoicing to your clients as a bookkeeping firm?
You offer invoicing by switching on the invoicing module for the client administrations that need it. Your client then invoices from the client dashboard, in the same environment where they already answer client questions and view reports. They don't need separate invoicing software, and you no longer have to process sales invoices separately.
Every invoice and credit note sent is in the administration straight away, so revenue and VAT add up in real time. Mollie payments are processed automatically. That way invoicing becomes part of your service: the client works more professionally, and you get an administration that is already up to date the moment you open it.
What can your client do with the invoicing module?
With the invoicing module your client creates, sends and manages invoices and quotes in their own branding. Invoices get a sequential number automatically, products and services are ready in a product library with unit, GL account, VAT and price, and customers are found by name or KVK number, after which company details from the KVK register are filled in.
The recipient views quotes on a personal online page, where they accept or decline. Once accepted, the quote becomes an invoice in one click. Credit notes are created in one click from the original invoice, and recurring invoices for subscriptions or regular jobs are created automatically. Email texts can be adjusted per type.
- Quotes with online acceptance, converted to an invoice in one click
- Credit notes in one click from the original invoice
- Recurring invoices, set up once
- Automatic numbering and a product library
- Find customers by name or KVK number
- Own branding and email templates per type
How do you switch on invoicing for a client?
You switch on invoicing in your client's administration, under Settings, with one click. As a firm you decide which administrations have invoicing enabled. Then you define which VAT codes the client may invoice with and which GL account each VAT code is booked to, for example standard-rate and reduced-rate revenue on separate accounts.
From then on your client invoices from the client dashboard and revenue lands on the GL accounts you chose. The client connects Mollie from the invoicing module's settings, so online payments are possible. In the overview they see total invoiced, drafts, open, paid and overdue, and can filter by status or period.
- 1Open Settings in your client's administration
- 2Switch on the invoicing module for that administration with one click
- 3Map the VAT codes the client may invoice with to a GL account
- 4Have the client connect Mollie from the settings
- 5Your client invoices from the client dashboard
How do your client's customers pay an invoice?
Your client's customers pay online via Mollie, with iDEAL, credit card and more, or with the EPC payment QR code on the invoice. That QR code is scanned with a phone camera and works with ING, Knab, bunq, ASN and SNS. The QR scanner in the Rabobank app only supports iDEAL and does not work with this code.
Payment status is live in the dashboard; with Mollie the status is set to paid automatically. Open invoices get an automatic payment reminder, and the overview shows which invoices have been reminded and which haven't. If a client uses external invoicing software, you can set up webhooks per administration, for example for an invoice being marked as paid.
What does invoicing cost and which ledgers does it work with?
Invoicing is an add-on at €5 per month per administration, on top of the Firm plan. You only switch it on for the administrations that use it, so you don't pay for clients who don't invoice. The Firm plan itself costs €50 per month including 200 bookings, with unlimited administrations and client portal.
Invoicing works with Exact Online, SnelStart, Twinfield and e-Boekhouden, with the same module for every administration. Payments run via Mollie with iDEAL. A PEPPOL integration for the invoicing module is coming soon but is not available yet. So you can't offer e-invoicing via PEPPOL to your clients through Autoboeker at this point.
