Definition
Invoice requirements (factuureisen) are the details the Dutch Tax Administration requires on an invoice, such as name and address of both parties, VAT identification number, invoice number, date, description, amount, VAT rate and VAT amount.
Also known as: Factuureisen, Factuurvereisten, Verplichte factuurgegevens, Invoice requirements, Vereenvoudigde factuur
A business that is obliged to invoice must state, among other things, the full name and address of itself and the customer, its VAT identification number, its Chamber of Commerce (KVK) number, the invoice date, a unique and sequential invoice number, a description and quantity of the goods or services, the date of supply, the amount excluding VAT, the VAT rate and the VAT amount. The invoice must be issued no later than the 15th day of the month after the supply. For an invoice amount of up to 100 euros including VAT, or an invoice that amends an earlier invoice, a simplified invoice with fewer details may be used. Doing business abroad requires additional details.
For a firm, invoice requirements matter on both sides. On the purchase side, an invoice that meets the requirements is the basis for deducting input VAT; if, for example, the VAT number is missing or the invoice is in a different name, the deduction is vulnerable in an audit. On the sales side, the invoices clients send themselves must be correct, or their customers may run into problems. Flagging missing details during processing prevents rework later.
Autoboeker recognises supplier, date, invoice number, amounts, line information and VAT on purchase and sales invoices. It recalculates subtotal, VAT and total, checks VAT numbers via VIES, flags duplicate invoices and checks for missing information. If something is missing, it can be requested from the client as a client question.
Example
A purchase invoice of 2,420 euros shows 21% VAT but no supplier VAT identification number. The firm requests a corrected invoice before deducting the 420 euros of VAT as input VAT.
